Hotel registration certificate can be replaced by electronic identification procedure

We can finally say goodbye to the paper registration form in the hospitality industry. On June 17, Federal Minister Horst Seehofer announced the Accommodation Registration Data Ordinance. This defines the technical requirements, in particular for the implementation of contactless check-in. The legal basis for this has already been created in the Third Bureaucracy Relief Act. Hotel companies can thus continue to develop in the direction of paperless hotels and rely on digital solutions. According to estimates by the German Federal Statistical Office, this will save hotel companies 3-4 minutes per check-in and more than 50 million euros per year. So it’s high time to implement the registration form in your hotel.

1. How does the guest fill out the digital hotel registration form?

Directly after booking

Put the link into the registration form in the booking confirmation email. Hotel guests go directly to the solution via the link and fill in all the registration form data.

Upon arrival at the hotel

Your guests can also fill out the registration form digitally upon arrival at the hotel. Via QR codes at the reception, hotel guests can call up the registration form directly via smartphone. In addition, you can provide tablets (at a distance from the reception)

2. How does the guest authentication work?

For authentication according to SCA, guests are asked to provide credit card details at the end of data entry (1st factor of authentication: possession of credit card). Confirmation is then made via the credit card’s TAN procedure (2nd factor of authentication: knowledge of the TAN) and the process is complete.

3. How is the digital registration form stored?

The data is securely stored on a digital registration form as a PDF and can be quickly and easily retrieved by hotel staff when visiting the authorities. After expiry of the retention period (1 year), the registration forms are automatically deleted again.
