Guide with 6 practical tips: Hygiene concept in the hotel

Learn in our 6 practical tips how to implement the measures of hygiene and distance regulations with digital solutions. At which points in the hotel operation do digital solutions make sense for a well thought-out hygiene concept? Where is contactless service necessary so that the distance regulations can be observed?

1. Relieve reception with contactless Registration Form(Check-in solution)

Remind your guests directly after booking that they can already fill in all data for the registration form in advance, so you avoid long queues at check-in. The booking confirmation takes the guests to the solution for the registration form with one click and they can directly enter all data (with their own smartphone, tablet or laptop).

In addition, you can set up one or more check-in stations. Your guests can then also independently fill in all data for the registration form at a distance from the reception (digitally via a mobile tablet). With this variant, you must of course also ensure sufficient disinfection facilities.

If all the data for the registration form has already been filled in by the guests before their arrival, they only need to sign and collect their room card on arrival. The signature can also be reproduced digitally in a legally compliant manner using our solution (more information here).

The time for check-in is reduced and there are fewer guests at the reception at the same time. The possible contacts are reduced and the distance regulations can be better adhered to.

2. Communicate special measures for room cleaning

Your guests will be specifically interested in what extra precautions you have taken for room cleaning. One possibility is to issue a hygiene seal for each room (which is attached to the room door directly after cleaning). Additionally, you can introduce your housekeeping team and the cleaning materials you use. You can communicate all the info to your guests with the digital guest directory. Here, too, you can make your hygiene seal, your housekeeping team and your cleaning materials used prominently visible.

3. Minimize the number of guests in the breakfast and restaurant area.

For example, you can design different breakfast packages and deliver them contactlessly to the room. You can also communicate this information to your guests via the digital guest directory. Enter your new breakfast packages in the system and your guests can conveniently select your breakfast offer from their room. In addition, you can offer different breakfast times for different room numbers. Again, this can be beautifully communicated via the digital guest directory. The number of guests in the breakfast area is reduced and you ensure that the spacing regulations can be observed.

4. Replace all info brochures and menus with the Digital Guest Directory

Remove all haptic items (flyers, guest directories, etc. …) that are laid out as information material in the rooms. On the one hand, this makes room cleaning easier; on the other hand, such folders, flyers, etc. are very susceptible to virus transmission. Inform your guests that all services can still be performed, but contactless at the room door. If your guests do not wish staff to come to the room during their stay at the hotel, you can also point out this possibility (your guests can inform you accordingly via the Digital Guest Directory).

6. Proactively communicate any special measures for spacing and sanitation to guests.

With a good information concept, you create safety and trust and take your guests by the hand. They should be reassured that all precautions have been taken, public areas are under special cleaning measures and sufficient protective clothing, masks, gloves and disinfectants are available. Inform your guests of the rules of conduct and motivate them to comply. Communicate your measures prominently on your website and link there already to your digital guest directory- which supports service and communication in the hotel.
